Job Summary:

The Hospitality Building Maintenance Administrative Assistant provides administrative and operational support to the department’s team. This role ensures smooth department operations through effective calendar coordination, communication management, documentation support, and facilitation of administrative workflows. Acting as a central connection between leadership, staff, and vendors, the position supports financial processing, reporting, onboarding, and day-to- day logistics critical to departmental success.

 

Job Specifications:

Starting Wage: $58,461.98 - $60,000

Employment Type: Year Round 

Shift Type: Full Time  hours available

Minimum Age: At least 18 years of age

Job Responsibilities:

  • Process invoices, payment requests, purchase orders, and other financial documents using  Coupa and OnBase
  • Assist with payroll tasks including attendance tracking, leave applications, and corrections.
  • Assist with processing, purchasing and invoicing of capital projects
  • Maintain vendor relationships and coordinate with external contractors as needed.
  • Assist with onboarding processes and maintain training and compliance tracking records.
  • Monitor and maintain office and departmental supplies through timely ordering. Monitoring expenses and optimize resource utilization.
  • Ensure compliance with health, safety, and environmental regulations.
  • Collaborate with hotel management to support overall operations and guest experience.
  • Participate in Vail Resorts Best Practice Groups, Maintenance specific, property specific and market wide leadership team meetings, along with resort/company special events.
  • Deliver the “Experience of a Lifetime” to our staff, guests, and homeowners.
  • Adhere to all policies, rules, and regulations for Vail Resorts and lead a team to the same  standards.

 

Job Requirements:

  • High school diploma or equivalent
  • Valid Driver's License
  • Strong organizational, problem-solving, and workplace communication skills.
  • Able to communicate effectively and professionally in English

 

The expected pay range is $58,461.98 - $60,000. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
