Job Overview:
United Nissan is seeking a detail-oriented and organized Title Clerk to join our team. This position is responsible for processing vehicle titles, managing trade vehicle jackets, ensuring all title-related documentation is accurate, and interacting with customers, banks, and the DMV. The Title Clerk will play a critical role in ensuring compliance with state regulations and maintaining efficient operations within the dealership's title department.
Key Responsibilities:
Trade Vehicle Management: Check-in trade vehicle jackets and ensure they contain proper documents. File trade jackets and titles in the title box.
Title Follow-Up: Follow up with customers or the DMV for missing trade titles, including obtaining duplicate titles and lien releases when necessary.
Duplicate & Problem Titles: Process duplicate titles and handle issues with problem titles.
DMV Processing: Prepare DMV bundles, cut checks for submission to Carson City, and manage DMV supplies.
Placard Management: Print and maintain placard log sheets, assigning placards to CSI as needed.
Wholesale Billing & Title Processing: Process wholesale title work, bill wholesalers, collect payments, and prepare and maintain spreadsheets tracking wholesale purchases and title status.
Bank Communication: Contact banks regarding titles not received from payoffs and process incoming wholesale payments.
Vehicle Purchases: Assist with purchased vehicle title work, including cutting checks and managing title release.
Gross Profit Tracking: Maintain logs tracking wholesale sales, ensuring that the gross profit or loss matches the documentation, updating daily.
Mail Sorting: Sort and process daily incoming mail for the title department, look up stock numbers for incoming titles, and update inventory screens.
Bank Correspondence: Respond to bank inquiries, providing information on titles, including faxing or sending copies of transmittals as required.
File Management: Pull files for funded deals, maintain accurate records, and ensure title jackets are labeled, filed, and stored correctly.
Retail Title Processing: Handle retail title work for both new and used vehicles at United Nissan, maintaining all relevant records.
Out-of-State Sales: Process all drive-away (out-of-state) sales and send actual titles via FedEx to customers for registration in their home state.
Company Vehicle Registrations: Manage company vehicle registration renewals and ensure smog checks are completed where necessary.
MCO Management: Process Manufacturer’s Certificate of Origin (MCO) upon vehicle arrival, ensuring proper stock numbers are recorded and filed.
Dealer Trades: Manage dealer trades, including cutting checks, making payments on purchases, and sending MCOs when payment is received.
Used Vehicle Flooring: Pull book sheets, list on NMAC flooring form, and email to relevant parties, including faxing to NMAC.
Qualifications:
- Prior experience as a Title Clerk in a dealership or similar setting is preferred.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks and prioritize workload efficiently.
- Excellent communication skills, both verbal and written.
- Familiarity with DMV processes, vehicle titles, and wholesale title work.
- Proficient with computers, including Microsoft Office Suite and dealership management software.
