Job Description
The Dallas-Fincham Team is seeking an extremely organized and customer-focused part-time Executive Assistant to manage all administrative, logistical, and compliance aspects of real estate transactions from contract execution through closing. This is an in-office position, located in McMurray, PA. You will be accountable for overseeing transactions from start to finish to ensure a smooth and successful sale. You will leverage your superb customer service skills to keep a low-stress, seamless experience for our agents and clients.
• Part-Time (25-35 hours per week)
• Day Shift (M-F)
• In-Office Position
Compensation: $18-$22 hourly, Commensurate With Experience
Responsibilities:
• Contract Management : Initiate transaction files, establish and meticulously track all contractual and escrow deadlines, and manage contingency removal processes.
• Coordination : Serve as the primary administrative liaison, coordinating communication among the agent, clients, lenders, title/escrow companies, and co-op agents. Schedule and confirm all necessary appointments and services.
• Document Compliance : Review all contracts, disclosures, and reports for completeness and accuracy. Audit and submit all file documentation to the brokerage compliance system to meet legal standards. Save customer information in the CRM system and track transaction activities.
Qualifications:
• Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred, but not required
• Driven by a desire to provide excellent customer service to ensure a great customer experience
• High school diploma or GED is required; some college experience preferred
• Applicants must possess exceptional organizational and verbal, and written skills
Technology Proficiency • Proficient in general computer programs (i.e., Word, Excel, DocuSign, etc) REQUIRED
• Knowledge in AI preferred, but not required
• Knowledge in real estate transaction management software (i.e., SkySlope) and CRM/Office suites preferred, but not required
