We are looking for a highly organized, detail-oriented, and bilingual professional to join our team as an Administrative Bookkeeper in the Chicagoland area.
Position Summary
The Bilingual Administrative Bookkeeper is a crucial, dual-function role responsible for managing daily financial transactions and providing essential administrative support. This position requires seamless communication in both English and Spanish to manage accurate, cloud-based record-keeping within QuickBooks and to handle professional client/vendor interactions. The Bilingual Administrative Bookkeeper role is a Full-Time Hourly position. The schedule for this role is M-F from 7:00AM - 3:30PM in the office at our headquarters located in the Little Village Neighborhood.
Key Responsibilities: Financial & Bookkeeping Responsibilities (Approx. 70%)
- Accounts Receivable Management:
- Set up new customers and projects accurately in QuickBooks.
- Create and send client invoices promptly.
- Record and apply customer payments.
- Reconcile Accounts Receivable to ensure timely collection and accuracy.
- Project and Cost Tracking:
- Accurately record and add incoming vendor bills and expenses.
- Track project costing and expenditures to maintain accurate budget records.
- Reporting & CPA Coordination:
- Generate and assist in running basic financial reports, primarily the Profit & Loss (P&L) statement.
- Act as the primary point of contact and liaison for the external Accountant/CPA to provide requested documentation and data for quarterly and annual tax reporting purposes.
II. Administrative & Office Support (Approx. 30%)
- Communication:
- Serve as the primary voice of the office by professionally answering incoming phone calls in both English and Spanish.
- Manage and prioritize the general office email inbox, communicating effectively with diverse clientele.
- Scheduling & Clerical:
- Manage scheduling and calendar coordination for client meetings and appointments.
- Attend internal meetings and accurately provide note-taking and transcription.
- General Administration:
- Assist with various miscellaneous administrative tasks, including data entry, file organization (digital and physical), and supply management.
Required Qualifications
- Mandatory Requirement: Professional Fluency in both English and Spanish (written and verbal).
- Proven proficiency and minimum 1-2 years of hands-on experience using QuickBooks (Online preferred).
- Demonstrable understanding of basic bookkeeping principles, particularly A/R and expense tracking.
- High comfort level and proficiency in G Suite/Google Workspace (Docs, Sheets, Gmail, Calendar, Drive).
- Experience or comfort working within cloud-based systems and environments.
- Strong organizational skills and meticulous attention to detail and accuracy.
Compensation & Benefits
- Hourly Rate: $21.00 - $27.00 per hour , depending on QuickBooks proficiency, relevant administrative experience, and bilingual fluency.
- Paid Time Off (PTO): Paid vacation and personal time.
