Job Description

Bookshop.org is seeking a highly organized, detail-driven Ad Operations Assistant to support the Ad Sales department. This is a new role in our rapidly growing business. The successful candidate will facilitate the delivery of promotional campaigns to indie audiences across a broad spectrum of book lovers, authors and publishers.

As the Ad Operations Assistant, you will be responsible for the timely and smooth delivery of advertising campaigns across a variety of media. Our clients are publishers, authors and book-adjacent industries, but we are an ambitious company with our sights set on growth. You will ensure their assets and details are correct in our system, and provide them with accurate reporting, delivered professionally. You’ll also be able to identify, explain and react to variance to provide team members with actionable insights.

Reporting to the VP of Ad Sales, you’ll also liaise closely with the Product and Marketing departments, along with our external partners and clients to help deliver exceptional campaigns that drive revenue and help support Bookshop.org's mission.

You will be a problem solver, have a keen eye for detail, be able to communicate effectively, and be able to think creatively towards solutions for both clients and internal stakeholders. You love books, and you have a beef with billionaires controlling the book world.


Responsibilities

  • Generate external-facing wrap reports for advertisers, ensuring accuracy, clarity and timeliness.
  • Create accurate UTM tracking parameters for all Bookshop.org paid campaigns.
  • Collect, organize and process ad creative assets from clients and internal teams.
  • Coordinate workflow for inserting email images and URLs; ensure all book covers, copy and images are correct, high-quality and up to date.
  • Assist in the assembly and QA of promotional and marketing emails, ensuring correct images, links, rendering, tracking parameters and product copy.
  • Stage display campaigns in Google Ad Manager (GAM) following established processes.
  • Maintain and communicate ad asset checklists to ensure timely campaign launches.
  • Follow and help improve documentation for campaign setup, QA and reporting processes.
  • Communicate professionally with external clients regarding assets, timelines and deliverables.


Requirements

  • 2+ years of experience in digital advertising, marketing operations, email marketing or related fields.
  • Experience with Google Ad Manager
  • Proficiency with productivity and marketing tools such as G Suite, Dropbox, Klaviyo and Slack.
  • Experience using Google Looker Studio (formerly Data Studio), or the ability to learn quickly.
  • Exceptional organizational skills and attention to detail; ability to manage multiple deadlines simultaneously.
  • Strong written and verbal communication skills, especially when working with external partners.
  • Ability to produce clean, accurate reporting.
  • Self-motivated, dependable and comfortable in a fast-moving environment.
  • Accurate and proficient when working with numbers and data


Bonus Points

  • Basic knowledge of SQL and HTML.
  • Understanding of email marketing best practices, including audience segmentation and deliverability.
  • Experience with additional tools such as Coda.io, Notion, Moveable Ink, Google Analytics and Webflow.


Work Hours and Benefits

This is a full-time, non-exempt position, reporting to the Vice President of Ad Sales. Benefits include medical, dental, vision, 401(k) with company contribution, paid vacation and sick time, and company holidays. The starting salary for this position is between $55,000 and $62,000. At this time, Bookshop.org is 100% remote. Occasional travel may be required.
